Venue & location

Where is Diamond W Ranch?
We are in Pinetop-Lakeside, Arizona (85935), in the high country of the White Mountains among Ponderosa pines. The ranch is a private estate blending ranch charm with forest scenery, near the Apache-Sitgreaves National Forest.
How many guests can you accommodate?
Wedding packages are planned for up to 200 guests. Ceremony wood benches are included with the rental; exact seating layout and capacity depend on your guest count and the spaces you use. Smaller events and camp groups may book a smaller footprint.
What is included in the wedding rental?
A typical three-day wedding rental includes exclusive use of the orchard ceremony space, cocktail hour area, main reception space, and log cabin. You also receive ceremony wood benches, commercial kitchen and ramada access for approved outside caterers, and campground space for guests who camp. Reception tables and chairs, and cocktail bars, are not included - you arrange those with your caterer or rental vendor.
How long is the wedding rental?
Our wedding package is a three-day rental period - for example, Friday through Sunday with your wedding on Saturday. Check-in is at 2:00 PM on the first day and check-out is at 10:00 AM on the third day, giving you time to set up, celebrate, and tear down. Shorter rental windows can be arranged if you do not need the full three days.

Booking & payment

How do I reserve my date?
A signed contract and non-refundable deposit are required to hold your date, plus a refundable security deposit. Your date is not considered secured until all required items are received. Remaining balance is due 30 days before your event. Contact us or submit an inquiry for current pricing and deposit amounts.
Do you require event insurance?
Yes. Couples must carry event liability insurance for the wedding day or full rental period and list Diamond W Estate, LLC as additional insured. Policies are usually affordable and quick to purchase online; we provide step-by-step guidance when you book.
Can we bring our own caterer and vendors?
Yes. You may bring caterers, DJs, photographers, florists, and other vendors of your choice. We are happy to share our preferred vendor list. Vendors should coordinate arrival, setup, and insurance with our office.
Is alcohol allowed on site?
Diamond W Ranch does not hold a liquor license. You may bring your own alcohol. If alcohol will be served, a licensed bartender is required.

On the property

Can wedding guests stay overnight?
Yes. The on-site log cabin sleeps up to ten and is included for bridal-party or family use during wedding rentals. The campground offers additional space for guests to camp. Let us know your lodging plans when you book.
What kitchen facilities are available?
Wedding rentals include use of the ramada kitchen for approved caterers: commercial refrigerator, griddles, gas stove, grill, double oven, and sink. Three outdoor restrooms are located near the reception area, along with on-site parking and a trash trailer.
Are pets allowed?
Pets may join your ceremony with prior approval. Outside of the ceremony, pets must stay crated in the cabin breezeway.
What are the rules for music and noise?
Amplified music and outdoor noise must end by 11:00 PM.
What about fire restrictions and smoking?
We follow seasonal fire restrictions from the Apache-Sitgreaves National Forest. Open flames, candles, sparklers, and outdoor cooking may be limited depending on conditions - we update couples as the date approaches. Smoking is allowed with an ashtray and is paused property-wide during the highest local fire restriction levels.

Camp & visiting

What should camp groups bring?
Groups typically bring sleeping gear, toiletries, paper goods, plates, and firewood when restrictions allow. We provide structures, utilities, and shared ramada kitchen equipment; your inquiry packet lists details for your dates.
How do I schedule a tour?
Call (602) 309-6354, email diamondwranchpinetop@gmail.com, or use our contact form. Tours depend on staff availability and other events on the ranch.
What is the weather like in Pinetop?
The White Mountains are cooler than the Phoenix and Tucson areas. Spring and fall are popular for outdoor ceremonies. Summer afternoons can be warm, but often comfortable compared to Phoenix; winter weddings may need cold-weather or snow plans.
