Privacy Policy

Diamond W Ranch is a wedding and event venue in Pinetop-Lakeside, Arizona, operated by DW Ranch LLC. Questions about this policy go to diamondwranchpinetop@gmail.com or (602) 309-6354.

When you contact us or submit a wedding, event, camp, or vendor inquiry, we collect what you send: your name, email, phone, dates, guest count, and message. If you book, we also keep the contract, insurance, and payment records needed to host the event.

We use that information to answer you, hold dates, send invoices and reminders, and run the ranch. Card payments are processed by Stripe. We do not store full card numbers. Email is sent through Resend. Contracts are signed through DocuSeal at contracts.diamondwranchaz.com. Files you upload, such as an insurance certificate, are stored so we can confirm coverage.

We use Vercel Analytics to see which pages are visited. We do not use that information for advertising, and we do not sell personal information.

The admin area is only for ranch staff on an allowlist. Sign-in is an email link. We store that email address and a login session so staff can stay signed in. Guests do not create accounts on this site.

A staff member may connect a Google account the ranch is authorized to read. The only Google permission we request is read-only Gmail access (https://www.googleapis.com/auth/gmail.readonly).

When that account is connected, Google provides:

• the Google account email address
• an access token and a refresh token, so we can keep reading that mailbox until it is disconnected

We use that access only to:

• show staff a short view of recent messages (sender, subject, date, and a snippet)
• read inquiry emails, including leads from The Knot, and save the booking details in those messages (such as name, email, phone, date, guest count, and message) in our reservation records

We do not send, delete, or change Gmail messages, and we do not request any other Google permission. We do not use Gmail data for advertising, to decide credit, or to train a generalized artificial intelligence model. We do not sell it or share it with data brokers.

Ranch staff can read messages in the connected mailbox. That is how we answer inquiries. The person who connects the account is authorizing that use of the ranch inbox.

The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.

Service providers process data for us only to run the venue:

• Supabase, for the database and staff login
• Vercel, for hosting, file storage, and analytics
• Stripe, for card payments
• Resend, for email
• DocuSeal, for contracts
• Google, for the connected Gmail mailbox

We may also disclose information if the law requires it, or to protect the ranch, our guests, or our staff.

Inquiry and booking records are kept as long as we need them to operate the venue and meet accounting and legal duties. Gmail tokens are kept only while that account stays connected.

Disconnecting Gmail in the staff tool deletes the tokens we stored. You can also remove Diamond W Ranch from the Google Account at myaccount.google.com/connections. To ask us to delete an inquiry or other personal information, email diamondwranchpinetop@gmail.com.

The site is served over HTTPS. Staff access is limited to allowlisted email addresses. Google tokens are stored in our database and are not shown on the public site.

This site is not directed at children under 13, and we do not knowingly collect their personal information.

If we change how we use Google user data, we will update this page and ask the connected account to agree before we use the data in that new way. The date at the top is the current version.
